Position: Regional HR Associate – Asia
Location: Islamabad – Pakistan (Remote Support)
Reports to: Regional HR Officer – Asia
Duration: 12 Months

Summary:
The Regional HR Associate will work with Regional HR Manager and Officer to strengthen the administrative and clerical support to all Asia expats.
This includes leave management, recruitment, OnBoarding and orientation, Performance management follows up and staff relation assistance to staff.
Essential Position Responsibilities and Duties:
Under the overall supervision of the Regional HR Officer, the Regional HR Associate shall be responsible for the following:
Human Resources Systems and Management
- Assist Regional HR Manager and Officer to file HR Relevant documents polices and procedures in the relevant folder of Box
- Take minutes of the meeting against the progress of each country office on numerous HR related priorities for future follow-up and tracking
Recruitment and staffing
- Assist RHRO on complete cycle of recruitment process
- Responsible to send regret email to unsuccessful applicants
- Help Regional HR to download CVs from external web portal and shortlisting where applicable
- Onboarding follow up with all Regional Expats.
HR Administration
- Provide Support to country HR Managers establish and maintain personnel files, ensuring all emergency data forms are filled and safely filled
- Assist in Regional HR to update audit road map progress sheet and tracking of ongoing progress
- Maintain and regularly update HR Directory with staff details.
- Assist in Updating the Regional Organogram for circulation to all staff
Capacity building and staff development
- Follow up on the 6 countries HRMs on monthly bases to maintain and regularly update country HR Directory with staff details and country Organogram
- Assist Regional HRO to update Telecommuting tracker in BOX and relevant tracking
Performance Management — RI Excel
- If required facilitate with RHRO the process of managing the appraisal queries.
- Assist RHRO to prepare quarterly RI Excel utilization report.
Compensation and Benefits
- Share Leave balance on a monthly basis with every international staff for their record and information.
- Assist RHRO on matters related to staff compensation and benefits and follow-up where and when required.
Employee Relations
- Manage to sign off process for leave and RnR requests for HR Asia.
- Make sure that staff data / master sheet is updated on a regular basis with most recent contract start and end date.
- Initiate New Employee Notification Form for circulation to all stakeholders in GSO
- Any other duty within the scope of the role as directed by the RHRM/ RHRO
- Assist RHRO to prepare Regional Quertley HR Data Report for GSO.
- Perform other related duties as required by RHRO

With initiative and judgment produces organized, accurate and well-documented records with well analyzed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary.
Skills and Competencies required
Education: At least Bachelor degree in Human Resources/ Social Sciences.
Experience: at least 3 years of progressively responsible work experience in NGO, INGO and Development sector projects.
Knowledge: Experience utilizing computers, Microsoft application packages, spreadsheet and other HR standard software packages and systems. General knowledge of INGO HR policies, rules, regulations and procedures.
Language: Fluency in both oral and written communication English
